BUS 203: Business Communication II
Individual Writing Assignment 1 – Follow Up Memo to Client
Assignment Overview:
Assume that you are Alex DiLeonardo, and you conducted the client workshop on your own. Your presentation was essentially the same as what you and the McKinsey partners presented to your McKinsey Project Team. The clients who attended the workshop (Casey Martinez, Sam Yao, and Sal Bambargar) were very engaged in discussion, but they did not commit to any specific follow up actions. At the end of the workshop, the clients asked you to summarize what you believe are their best next steps in a memo addressed to them.
Please write an original memo that summarizes what you believe to be the next steps that are best for your client’s organization. You should recommend actions that the client’s organization should take, and you may also include proposed next steps for the McKinsey engagement if you think continued engagement is necessary.
Your instrumental goal is to get the clients to agree to proceed with the actions you summarize. If you propose continued McKinsey engagement, you do not need to specify costs and other engagement terms and conditions in this memo. If you were really a consultant, you would present engagement details after the client reads your memo and agrees to proceed.
Steps to Complete:
1. Draft your original memo in full and be sure to retain this original file since it’s one of the required submissions for this assignment. Please note:
1) This is an individual assignment, so you should not collaborate with AI tools or anyone else to write your original memo draft.
2) For format expectations, please refer to Cardon (2024) Appendix B, Figure B.1 and/or notes from class.
3) While there is no specific page limit, strive to keep your memo within 2 pages.
2. Enter Lehigh’s LibreChat environment by accessing: http://librechat.lehigh.edu. Sign in using your Lehigh credentials.
3. Locate the following two LLMs within Lehigh’s LibreChat environment since you will use both to complete this assignment:
1) OpenAI/gpt-5
2) AWS Bedrock/anthropic.claude-3-5-sonnet
Note that you may toggle from one LLM to another within the same Lehigh LibreChat session.
4. Using each of the authorized two LLMs:
1. Enter chat by selecting the LLM from the LibreChat menu.
2. Upload your draft memo by clicking the paperclip icon. PLEASE do not upload any materials other than the draft you created!
3. Type in prompt(s) that request feedback and/or edits to your draft memo as the memo’s author, with the goal of getting balanced feedback/suggestions that can help “the author” craft the most effective memo. Effective memos will achieve your goals, meet clients’ needs, and meet criteria for excellence across all business communication competencies. Do not ask or agree to have the LLM write or edit your memo for you – doing so makes the LLM your co-author, and co-authors are prohibited in this assignment.
NOTE: You may vary settings for the LLM if you wish to compare different outputs from the same LLM, but varying settings within an LLM is not required.
4. Change the chat to the second LLM and repeat the process above within the same Lehigh LibreChat session.
5. After using both LLMs, make a copy (.PNG) file of your prompts and outputs by clicking the share icon
on the upper left of your screen, then selecting “Export/type” screenshot (.png). Please save this file since you will need to upload this .PNG file as part of your assignment. The .PNG will appear very small, so your instructor will view it by enlarging it.
5. Compare the output you received from each of the two LLMs and make whatever changes you think improve your draft to write the final version of your memo.
6. Write a brief reflection (≈ one page) that describes:
1) What feedback (if any) from the two LLMs was useful and why.
2) What you learned (if anything) from the Lehigh LibreChat experience.
7. Submit each of the following 4 files to course site using the correct submission links in the specified file format(s) before the deadline:
1) Your original memo draft (in Word or PDF format)
2) The prompts you entered and the respective outputs you received from each LLM during your LibreChat session (in .PNG format)
3) Your final memo (in Word or PDF format)
4) Your brief written reflection (in Word or PDF format)
