Learning Objectives
● By completing this assignment students will be able to (a) create a business process model based on a given problem and (b) document and communicate a business process using standard notations of the process modelling techniques. This is an individual assignment and no group work will be permitted.
Submission Requirements
● Submission must be made by the due date otherwise a penalty of 10% reduction in the marks gained per late day will be applied. For example, that means if you got 70%, but are 2 days late, your mark will be reduced by 10% of 70 (the marks gained) x 2 (two days late) that will be 14 marks.
● Assignments are to be submitted online to Moodle.

Scenario1
The following narration describes the insurance claiming process of an automobile insurance company, for the repair of an automobile using one of their pre-approved mechanics.
When a client makes claims for automobile repairs, e.g. collisions, fire damages or damages due to natural disasters such as flood, the client can either call the insurance help centre to inform them about the nature of the claim and provide descriptions of the damages, or they can complete the claim form online via the company website – so they have time to think about the incident and describe it clearly.
Either way, the insurance officer first checks the validity of the insurance policy by entering the policy number to the system. In case the client lost the policy number, client’s personal details such as full name, phone numbers, etc can be used to lookup for their insurance policies. Claims may be rejected if the policy number is expired and the client’s personal details cannot be found in the system. After verification of policy number, the officer will retrieve the automobile information, policy coverage, excess fee, etc from the database. At the back end, the policy number is retrieved from the Policy master data which also contains the details of policy coverage and automobile information. Client’s personal details are stored in Customer master data.
When a claim is successfully lodged, the system generates a case reference number, which is saved in the
Case event data. The client may use this reference number later, e.g. to check for the claim status, details of repair work, etc. Then, the officer will retrieve a list of certified mechanics that meet the case requirement.

The narration is compiled based on the interviews with various key persons in the claiming process. There could be some information missing due to the limitations in information gathering. For the purpose of business process modelling, you have to make reasonable assumptions when necessary.

The certified mechanics data are stored in the Mechanics master data. Based on the certified mechanics list generated, the officer will send a request for quotation to these mechanics. In the meantime, an assessor is sent to examine the damage before making a final decision in relation to the claim. Once the mechanics reply with the quoted price, the officer records the quotes. These newly received quotes will be compared with the existing quotes collected from previous claims (all quotes are stored in the Quote event data). With the assessor’s advice, the officer will shortlist the appropriate mechanics (e.g. based on availability and quote).

The client will then be informed of the list and they can take the automobile to one of the listed workshops for repair.

Once the automobile is repaired, the mechanic will send the invoice to the company’s accountant. Then, the accountant posts the cheque to the mechanic and sends a copy of the invoice to the insurance office. All payment related data are kept in Account master data. The insurance officer will update the claim in the Case event data and inform the client, and the client will acknowledge the repair work. In the case the client needs to pay excess fees, the payment should be made to the company’s accountant. Excess fees apply when someone other than the policyholder has been using the car, for example, a family member not listed in the policy contract. In the case where the policyholder is not a liable party, the insurance officer will collect information about the liable person and send an invoice to their insurance company.

Based on the descriptions given above, complete the following tasks:

6. Draw a system flowchart. (15 marks)
7. There are marks allocated for the overall presentation of your business process model, including completeness, correctness and consistency of the diagrams. (10 marks)
8. State your assumptions when necessary.
Task II (5%)
Using the mentioned scenario as an example:
1. Discuss how organisations could use business information systems (BIS) to achieve their business goals. (10 marks)
2. Discuss the advantages of integrated enterprise systems for an organisation with similar business processes. (10 marks)
3. Include at least two references2 and cite them in the body of your response. Use the American Psychological Association (APA) style of referencing (https://guides.lib.monash.edu/citing- referencing/apa). (5 marks)
Suggested length: 500 words.
The references may include published peer-reviewed academic articles, e.g. journals, conference articles, books, book chapters, or websites and newspaper articles. They should be as current and substantive as possible.
